Job Description

The Project Assistant will provide essential administrative support for AMINA MWRC's Employability and Financial Advocacy Services.

Please note this is a fixed term work placement with a maximum duration of 26 weeks 

Amina – The Muslim Women's Resource Centre (Amina MWRC) is an intersectional organisation, by and for women, dedicated to empowering Muslim and Minority Ethnic (ME) women in Scotland. Founded in 2001 on the principles of community development, our work is underpinned by community empowerment, participation and partnership working. Amina MWRC envisions an inclusive world where Minority Ethnic women fulfil their aspirations, striving for inclusivity and societal fairness. 

 

Muslim and ME women face notable inequalities, including low accessibility to education and healthcare, and higher rates of gender-based violence. Amina MWRC actively engages with these women, building community resilience, ensuring these voices shape national policies, and advocating for informed understanding among mainstream agencies and policymakers.

Key Responsibilities

 

  • To ensure delivery of an effective, inclusive client focussed service for employability & financial advocacy.
  • Organise and facilitate initial client appointments, meetings, and follow-ups as needed.
  • To ensure all paperwork relating to the administration of clients and their journey through the employability pathway is completed accurately and efficiently to ensure compliance with funders.
  • Manage communications, including emails, phone calls, and general inquiries from clients and external stakeholders.
  • To signpost referrals, either internally or externally, to specialist organisations as required.
  • Maintain and update accurate records for each client, including progress, outcomes, and follow-up actions.
  • Ensure room bookings and organising of any in house resources required for external classes, training and other workshops being held at Amina.
  • Assist in the coordination of workshops, training sessions, and networking events related to employability and financial advocacy.
  • To support the development officers in the facilitation and delivery of employability & financial advocacy events and workshops.
  • Assist with outreach activities and external events to promote AMINA’s services as and when required.
  • To identify suitable opportunities for employability project service users.
  • Maintain databases and undertake any other relevant administrative duties.
  • Maintain accurate records of all work undertaken by the project.
  • Any other duties in line with this post as directed by your line manager.

  • Be aware of confidentiality and adhere to practice within the boundaries of the General Data Protection Regulation.
  • Participate in staff meetings as required; and participate in regular support and supervision sessions.
  • To support with office cover in the Glasgow office during regular working hours.   

 

Essential skills, experience and qualifications

Essential:

  • Previous experience in an administrative, client-facing, or support role, preferably within a charity, third sector organisation, employability, or financial advocacy context.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with data management systems.
  • Strong attention to detail and ability to maintain accurate records.
  • Excellent communication and interpersonal skills, particularly in providing culturally sensitive support.
  • Strong organisational and time-management skills, with the ability to manage multiple tasks and meet deadlines.
  • Empathy and understanding of the challenges faced by women from marginalized communities.

Desirable:

  • Experience working with women from minority ethnic or refugee backgrounds.
  • Able to speak a community language (Urdu, Punjabi, Hindi, Arabic etc)
  • Experience of working in, or with the voluntary sector

Good understanding of the barriers faced by Muslim and minority ethnic women, including cultural sensitivity in service delivery.

Number of Hours Per Week 21 hours for 26 weeks

Working pattern and contracted hours (including any shift patterns)
To be agreed between 9.30 and 5pm Monday to Friday

Details of Training Provided

All new staff go through an induction process where their line manager goes through the policies and procedures of the organisation, the history of the organisation and our current work. They are encouraged to meet with all staff on an individual basis to familiarise themselves with all strands of our work. This usually takes place in the first 1-2 weeks.

 

Formal support and supervision is provided every 8-10 weeks. However, new staff meet more frequently with their line manager for the first month where work priorities and a work plan are developed. Support and supervision consists of agreeing work priorities and targets for the month ahead and discussing how work has progressed in the previous month. Difficulties or barriers are discussed and addressed as well as additional support and training needs. 

 

All new staff receive on the job training as well as training on Violence Against Women and Girls issues, Helpline training, Equalities training as well as access to any group training for all staff or any free training offered to us, such as mental health training, SafeTalk etc.
