Job Description
The post-holder will provide a professional and welcoming first point of contact for visitors and callers to the GCVS Offices while also playing a key role in supporting and developing GCVS membership.
They will ensure members receive a high standard of support and communication, process membership applications and renewals, and encourage organisations to make full use of GCVS services and benefits. Through proactive engagement, they will help sustain and grow membership numbers and support the wider GCVS team to strengthen connections with the Third Sector in Glasgow.
Please note this is a fixed term work placement with a maximum duration of 26 weeks
Key Responsibilities
Key Duties and Responsibilities
Front of House
- Deliver a friendly and professional Front of house service, welcoming staff and visitors, responding to enquiries, and signposting as appropriate.
- Manage incoming calls, emails, and visitor sign-ins.
- Support room bookings, facilities queries, and wider Office administration.
- Maintain office and shared spaces, ensuring they are safe, accessible, and welcoming.
- Provide administrative support to the Corporate Services team as required.
Membership Support
- Act as a first point of contact for membership queries via email, phone, and in person.
- Support membership processes including checks, approvals, renewals, cancellations, payments, and account updates.
- Welcome new members, share information on membership benefits and events, and encourage engagement.
- Update and maintain accurate records on Salesforce and the membership website.
- Liaise with the Finance team to reconcile membership payments.
- Work with the Partnership & Membership Coordinator and colleagues across Communications, Sector Development, and Third Sector Support to deliver seamless membership support and take forward “Membership Plus” services.
- Oversee the membership mailbox, ensuring timely and professional responses.
- Provide regular contact with members to build relationships and increase take-up of services.
Cross-Cutting Responsibilities
- Support membership events, workshops, and engagement activities.
- Encourage new organisations to join GCVS and help increase awareness of membership benefits.
- Collect feedback from members and report on membership trends, supporting monitoring and evaluation.
- Maintain good quality data and ensure consistent professional communication with all stakeholders.
- Undertake other reasonable duties as required to support the smooth running of GCVS Offices and GCVS membership services.

- It is the nature of work at GCVS that tasks and responsibilities are in many circumstances unpredictable and varied. All employees are therefore expected to work in a flexible way when the occasion arises so those tasks which are not specifically covered in their job description are undertaken. These additional duties will normally be compatible with the regular type of work required by the post. If the additional responsibility or tasks becomes a regular or frequent part of the employee’s job it will be included in the job description in consultation with the employee.
Essential skills, experience and qualifications
Essential
- Strong interpersonal and communication skills, with a professional and welcoming manner
- Experience in administration, customer service, or membership support roles
- Good organisational skills with the ability to manage multiple tasks and priorities
- Confident using IT systems, including databases (e.g. Salesforce), Microsoft Office, and online platforms
- Attention to detail and accuracy in handling data and records
- Ability to work flexibly across different tasks and teams
Desirable
- Experience of front of house or reception work
- Knowledge of the voluntary/third sector in Glasgow
- Experience with membership schemes or client relationship management
- Basic understanding of finance processes (e.g. reconciling payments)
Number of Hours Per Week 21 hours per week for 26 weeks

Salary will be paid monthly and will be £12.60 per hour
