Job Description

The Events Assistant will support the Village Storytelling Centre’s growing events programme in their local neighbourhood of Pollok and across the city through a variety of administrative tasks. This will include planning events with storytelling team, liaising with venues, partners and artists, delivering evaluations and gathering audience feedback, and supporting community engagement. This is an excellent opportunity to increase access to storytelling for a wider, more diverse range of communities and to promote the art of contemporary oral storytelling across Glasgow, Scotland and beyond.

Please note this placement is a work placement opportunity for the duration of 26 weeks 

Key Responsibilities

  • Event Planning and Preparation
    • Attend and record event planning meetings, sharing minutes with the events teams.
    • Book and liaise with venues and other contributing partners.
    • Liaise with artists.
    • Support with any
    • Support the events team with promotion of the events.
    • Support the events team with any other reasonable preparatory tasks
    • Support booking procedures and ticket sales where relevant
  • Events Delivery
    • Support events team with set up and get out/clear up at events
    • Welcome and support community performers and artists
    • Welcome and interact with audiences, checking tickets and seating where relevant
    • Support events team with any reasonable tasks.
  • Monitoring & Evaluation
    • Create and implement a system for gathering audience demographic and feedback, in partnership (where relevant) with creative evaluation partner.
    • Liaise with Storytelling team to gather community performer/artist demographic and feedback.
    • Collate mentions of events across media channels to support evaluation.
    • Attend and record evaluation meetings with events teams.
    • Create thorough reports which provides and analyses audience, artist and community demographic and experience.
  • Contribute to the ongoing development of the Village Storytelling Centre with the rest of the team through attendance at Weekly catch-up meetings and monthly project meetings, sharing learning and building relationships.
  • Take part in relevant training opportunities (including induction, first aid, safeguarding, GDPR).
  • Ensure that all policies and procedures, including health & safety, GDPR and safeguarding policies are adhered to at all times.
  • Carry out other reasonable duties as may be ascribed to the post by the Executive Director and Operations Manager

Essential skills, experience and qualifications

We are looking for someone who has the following skills and experience:

  • An active interest and enthusiasm for storytelling and/or the arts
  • Excellent attention to detail
  • An interest or experience in events planning/coordination
  • An interest in people, community, making links and building relationships
  • Excellent communication skills and a warm, friendly demeanour
  • An enthusiastic and motivated team player
  • An imaginative, enthusiastic and flexible approach
  • Ability to be administratively self-sufficient
  • Strong problem-solving skills

Desirable but not essential:

  • Understanding of diverse communities of Glasgow and potential partner organisations
  • Experience of involvement in arts activities

Number of Hours Per Week 21 hours per week for 26 weeks

Working pattern and contracted hours (including any shift patterns)
Tuesday - 7hrs, Wednesday - 7hrs, Thursday - 7hrs With flexibility required to ensure attendance at events which may take place during evenings and non-regular working days including weekends. TOIL will be provided.

Details of Training Provided

Weekly 30 minute Check ins for weekly planning

Monthly 1 hr Check in meetings (Support and Supervisions)

Training:

The postholder will take part in:

  • Induction Training
  • Safeguarding/Child Protection Training
  • Training in IT programmes where required
  • Training in Creative Evaluation methods and ‘storytelling’
  • Training in Coordinating Arts Events
  • ‘On the job’ training throughout the placement
  • Additional training opportunities which may be identified as the placement progresses and postholder develops interests in specific areas.
