Job Description

As Programme Coordinator, you will play a key role in supporting Connect Three’s delivery and support teams to ensure our learning programmes run smoothly and to the highest standard. You’ll be responsible for managing training logistics, preparing programme materials, and ensuring our training spaces (in-person and online) are set up to create seamless, professional, and engaging client experiences.

Please note this is a fixed term work placement with a maximum duration of 26 weeks 

 

Key Responsibilities

Programme & Training Logistics

  • Coordinate the scheduling and administration of training programmes, workshops, and events.
  • Ensure training rooms, equipment, and materials are set up to a professional standard, both onsite and online.
  • Manage delegate communications, including invites, reminders, and follow-up information.
  • Prepare and distribute programme resources, including handouts, profiling tools, and reading materials.

Delivery Team Support

  • Provide proactive support to our Delivery Consultants, ensuring they have all resources and information required before, during, and after programmes.
  • Anticipate logistical needs and resolve issues quickly to minimise disruption.

Client Experience & Administration

  • Act as a friendly and professional first point of contact for delegates and clients.
  • Capture client and delegate feedback to support continuous improvement.
  • Work with the Support Team and Account Manager to ensure programmes are delivered seamlessly from sign-up through to follow-up.

Essential skills, experience and qualifications

  • Strong organisational and planning skills, with an eye for detail.
  • Excellent communication and relationship-building skills.
  • Confidence in using digital tools and willingness to learn new systems (e.g., CRM).
  • A proactive, problem-solving mindset and the ability to work flexibly in a fast-paced environment.
  • Passion for creating excellent client and delegate experiences

Number of Hours Per Week 21 hours per week for 26 weeks

Working pattern and contracted hours (including any shift patterns)
Between Monday – Friday 9am-5pm Flexible working as standard

£12.60 per hour

Details of Training Provided

Onboarding and Orientation

  • Company Overview: Introduction to the company's mission, values, culture, and structure.
  • Team Introduction: Meet-and-greet with key team members and departments.
  • Systems and Tools: Training on the software and tools commonly used in the role (e.g., project management software, communication tools, document management systems, CRM system).
  • Policies and Procedures: Familiarisation with company policies, HR guidelines, and standard operating procedures.

Role-Specific Training:

  • Project Management Basics: Overview of project management principles, including project lifecycle, task management, and resource allocation.
  • Administrative Tasks: Training on scheduling meetings, preparing reports, maintaining project documentation, and tracking project progress.
  • Communication Skills: Guidance on effective communication within the team, with clients, and other stakeholders.
  • Time Management: Techniques and tools to manage multiple tasks and deadlines efficiently.

Support Structure

  1. Mentorship Program:
    • A mentor will be assigned to offer personalised support, advice, and career development guidance.
    • Mentor Meetings: Regularly scheduled (e.g., bi-weekly) one-on-one meetings to discuss challenges, progress, and career aspirations.
  2. Support and Supervision Meetings:
    • Initial Frequent Check-ins: Daily or every other day check-ins during the first two weeks to address any immediate questions or issues.
    • Weekly Progress Meetings: Regular meetings with the supervisor to review work progress, discuss upcoming tasks, and address any concerns.
    • Monthly Team Meetings: Participation in team meetings to stay updated on broader project developments and company news.

 

  1. Additional Support Resources:
    • Training Materials: Access to a library of training materials, including manuals, videos, and online courses.
    • Peer Support: Encouragement to collaborate and seek advice from peers and other team members.
    • HR Support: The Employee Experience Lead will be available to answer any questions related to company policies, benefits, or personal concerns.
