Job Description

The position of Administrative Assistant supports the Executive Director in their day-to-day operational management of the organisation. Our key aim is to be at the forefront of creating and presenting quality, ambitious and successful Scottish theatre, nurturing, producing, and programming work that represents and reflects the diversity of the world around us, locally and globally. Please note this opportunity is a work placement for the duration of 26 weeks 

Key Responsibilities

  • Provide administrative support to the Executive Director and Artistic Director
  • Assist with administrative tasks associated with fundraising and supporting the Tron patrons and Corporate Donor programme, including inputting into the database and supporting Patron events
  • Support the Venue Management Team in coordinating Tron Events
  • Assist the Artistic Producer with some administrative tasks such as script printing
  • Assist the Building Manager in arranging maintenance company appointments
  • Assist the Marketing and Communications Department with new season programme mail outs
  • Assist the Front of House team with in-house events and external hires preparation and planning
  • Be an active member of the Tron Green Team
  • Other general duties such as; placing stationery orders, maintaining staff contact details, collating and recording energy data.

Essential skills, experience and qualifications

  • Demonstrable verbal and written communication skills with a strong ability to deal appropriately with a wide variety of people in a confident and friendly manner
  • Administration and organisational skills with an attention to detail
  • Proven ability to work and collaborate with others
  • Proven ability to prioritise tasks and work under pressure
  • Excellent time management skills
  • Ability to work on own initiative and within a team
  • Ability to use a range of IT software including Office 365 with word, excel, outlook, teams and forms
  • Interest in and willingness to assist across all areas of the organisation and learn new skills
  • A friendly, hardworking, and flexible approach to all aspects of work
  • Presentable, honest, reliable, and professional with an approachable manner

Desirable 

  • Interest in the arts, creative industries and theatre
  • Experience with database organisation and management
  • Experience of note taking

This list of responsibilities is not exhaustive and the employee may be required to perform duties outside of this as operationally required and at the discretion of the Executive Director.

Health and Safety

  • Assist with fostering a positive H&S culture throughout the department
  • Ensure all tasks are conducted in accordance with H&S policies
  • Take part in venue wide emergency drills and other key evacuation drills

 Other Duties

  • To take part in training sessions and meetings with the teams
  • To always uphold the reputation of the Tron
  • To understand and support the aims and objectives of the Tron
  • Any other duties or projects commensurate with the post as required by the Executive Director

Number of Hours Per Week 25 hours per week for 26 weeks

Working pattern and contracted hours (including any shift patterns)
9am – 5pm (flexible)

Details of Training Provided

The placement will be included in any organisational training that takes place during their placement which may include Equity, Diversity & Inclusion training, First Aid, and any required training that will support their placement.  Should the placement wish to assist our front of house or café/bar team, for example, they would be given training in both areas of the organisation.
